Terms and Conditions – Al-Shareyah Association El-Saf El-Balad App

Last updated: 23 October 2026

1. Scope

The app and administration panel are internal tools for personnel authorized by the association. Availability on Google Play or the App Store does not give anyone a right to create an account or access association records.

2. Accounts and Permissions

Each user receives an account and a role appropriate to their duties. Every role can view case records; for each role the association decides what it may do beyond that: call a family, share case details, copy national ID numbers, view and share case documents, view the general report, correct a family's home location (map point and address), and correct its phone number. The app shows only what the user's role allows, and a role change or account suspension takes effect the next time the app is opened. Users must protect their login credentials, must not share accounts or use someone else's, and must immediately report a lost device, exposed password or suspected unauthorized access. The association may suspend, modify or revoke an account when access is no longer required or these terms are breached.

3. Acceptable Use

The system may be used only for authorized charitable and administrative work. Users must access only the minimum data needed for their tasks, maintain accuracy, follow confidentiality instructions, and protect their device with a screen lock and current security updates.

4. Handling Beneficiary Data Outside the App

Beneficiary data is confidential and must not leave the system. Only the following exceptions are permitted, to users whose role includes them, for a genuine work purpose (a visit, an aid delivery, a follow-up, completing a case file), through a communication channel approved by the responsible manager:

  • Sharing case details: sends the beneficiary's name, case code, phone number, address and a link to their home location, and only to another authorized worker.

  • Sharing attachments: sends a copy of the document itself (an image or a PDF), which may carry a national ID number, health information or children's data. It may be sent only to an authorized worker or a party approved by the association, for a purpose that needs the document itself, such as printing a document missing from the case file.

  • Copying a national ID number: the copied number may be pasted only into an approved work tool and must not be kept afterwards.

  • Sharing the general report as an image: the report holds aggregated counts and amounts per aid type, with no names or family details; it is treated as an internal report and must not be published.

The sender is responsible for what they send and must delete the message and file from their device and the conversation once their purpose has ended.

Otherwise, users must not copy, screenshot, print, export or send beneficiary data to any person or party; must not publish beneficiaries' names, addresses, photographs, or health or social circumstances by any means; and must not use the data for personal or commercial benefit, or for abuse or discrimination.

5. Other Prohibited Use

Users must not bypass their permissions or attempt to access accounts or records unrelated to their duties; disrupt, security-test, modify or reverse engineer the system without written permission; or leave the app open on a device accessible to unauthorized people.

6. Changes Made from the App

Changes a user makes in the app, each within their permissions — correcting a family's home location (map point and address), or correcting its phone number — are saved directly to the case record in the association's system. Users must verify the information before saving, and must not make changes without the necessary authorization and instructions.

7. Accuracy and Decisions

The system assists with organizing information and does not replace social research, human review or the association's approved procedures. Information must be verified before making a significant eligibility or suspension decision, and outdated or inaccurate records must be reported.

8. Data Shown Offline

The app keeps an encrypted copy of recently loaded data on the phone so it can be viewed when the device is offline. A copy older than seven days is not shown; the copy that is shown may still be out of date and must not be relied on for a significant decision without re-checking once the connection returns. It is erased automatically on logout, and users must log out when they stop using the device or hand it to someone else.

9. Confidentiality

All beneficiary records, reports and notes are confidential and belong to the association and the data subjects. The duty of confidentiality continues after employment, volunteering or account access ends.

10. Availability

The association aims to keep the service available but cannot guarantee uninterrupted operation. Approved alternative procedures must be followed during outages or maintenance.

11. Intellectual Property

The app, system, design and operating rules are owned by or licensed to the association. They may not be copied, republished or used outside association work without written approval. This does not limit data subjects' rights in their personal data.

12. Breaches

The association may suspend or revoke access and take appropriate administrative or legal action when these terms are breached, taking into account the severity of the breach.

13. Changes and Law

These terms may be updated when system functions, work requirements or legal rules change. They are governed by the laws and regulations of the Arab Republic of Egypt.
